If your nonprofit uses QuickBooks Online, you have many different options for organizing your financial data. However, even these tracking methods can still fall short at times. This is a setting that will need to be switched on if you want to utilize it.

To turn on project tracking, log into your QBO account and click on the gear icon to access account settings. Once this feature is enabled, you will see the new field displayed in your expense transaction entry screen:. If you use project tracking, you will be able to view the income, expenses, and profitability of all your projects at a glance.

You can use drop-down menus to filter your projects by status and customer. Or click on a project name to view more details about the individual transactions coded to the project, and to run project reports.

But remember, you won't see the costs in projects until after payroll is processed. To estimate your fully-burdened hourly cost for each employee, you can enter employee wages, and other costs like taxes and workers' comp insurance, as an hourly cost rate. Then you can use these rates to estimate your labor costs.

Hourly cost rates only apply to time that is tracked after the hourly cost rate is set. If you're using the hourly cost rate to track your expenses, QuickBooks will calculate employees' labor costs using their timesheets that are tracked to your project. Keep in mind that hourly cost rates will only calculate costs on new timesheets going forward. Any timesheets that were made before the hourly cost rate was entered will not be calculated in the project overview or reports.

Learn how to add your employees' timesheets to the project. Tip : If you plan to invoice your customer for project hours, make sure you turn on billable expenses so you can create invoices from the timesheets.

If time charges aren't calculating like you expect in your project, check this switch to see if you're using your preferred type of labor cost hourly costs or payroll expenses.

Note : While this switch will change which labor cost you see in your project's overview and the projects list, it won't affect your books. The following views and reports will calculate labor costs based on either payroll expenses or hourly costs whatever the switch is set to :.

If you create estimates outside of QuickBooks, but you create invoices in QuickBooks, you can simply enter your invoice information in the Create estimates window and turn your estimates into Invoices. You can use some job costing reports without recording estimates in QuickBooks Desktop. However, entering estimates in QuickBooks allows you to use the full range of Job Cost reports to make sure your project budget is on track.

You can evaluate how accurate the estimates are and adjust them appropriately for future projects. Step 4: Create appropriate invoices Make sure to choose the right Customer:Job when creating invoices. If you prefer to create invoices outside QuickBooks Desktop, make sure to enter at least a summary of each invoice into the program so it includes the revenue in the Job Profitability reports.
